Is there a system that books appointments inside the conversation?
Yes. The customer writes a date and time on WhatsApp, Instagram or Telegram, Avteza checks what is free against the schedule you entered on the dashboard, confirms a suitable time and writes the booking into the system. If the customer changes their mind, the assistant handles the cancellation itself and there is nothing left for you to do.
Four steps, all inside the conversation
The first step is checking what is free. When a customer writes "any room tomorrow evening?", the assistant looks at which hours are open and offers a choice.
The second step is writing it down. Once a choice is made the booking lands in the system and the confirmation is given right there in the conversation. The customer downloads nothing and goes to no website.
The third step is cancellation. When the customer changes their mind, the assistant handles the cancellation request itself.
The fourth step is the handover. When a request is unusual, a special condition for instance, the assistant does not guess: it passes the conversation to your team.
Where the free time comes from
Only from what you entered on the dashboard. The assistant does not guess at your calendar and does not open a slot of its own accord.
A change applies immediately: close an hour or a whole day and the assistant will state the new position in its very next message.
That is a responsibility as much as an advantage. If the schedule you wrote down is wrong, the same error will repeat with exactly the same precision every time.
Reminders and no-shows
A confirmed booking gets a reminder the day before, sent by a schedule that runs once a day. A second reminder two hours ahead is optional.
Each booking gets each kind of reminder once: the system records what it has sent, so nothing goes out twice.
If the free-form messaging window on WhatsApp is closed, the reminder goes out as a template approved by Meta. That is Meta’s rule, not our choice.
Where this is meaningful
In any business that sells time. An appointment at a salon, a slot at a clinic, a room at a hotel, a class at a gym, a trial lesson at a training centre, a place in the queue at a garage, a table at a café.
It is not meaningful for an online shop, and that sector’s page does not claim it: online selling has a catalogue and orders, not hours.
At a clinic the boundary is narrower, deliberately. The assistant books the appointment and gives the hours and the address. Every question with medical content goes to a person.
What it does not do
It does not work out how long a service will take on its own. It says nothing beyond what you entered on the dashboard.
It does not make payment a condition of a booking. The payment link is sent with an order, and it does not block a booking.
There is no integration with a till system or an external calendar application. The booking is visible in your dashboard and is not written into any other software.
